An office move works best when one operational plan connects the lease timeline, staff responsibilities, building access, inventory, technical services and destination layout. The objective is controlled movement and a predictable reopening sequence.

Create one chain of responsibility

Appoint one internal move coordinator and one decision-maker at each property. Use a single inventory and deadline list so instructions do not split across departments.

Record landlord or building approvals, elevator bookings, access hours and key handover dates. Identify which decisions need approval before packing begins.

Inventory by department and priority

List desks, chairs, storage, boxed records, shared equipment and items marked for approved removal. Group everything by destination room, team or workstation.

Separate priority equipment needed for reopening. Confidential records and sensitive technical equipment should follow the organization’s own security and specialist handling procedures.

Coordinate technology and vendors

Back up business data before disconnection. Schedule internet, telephone, security and technical providers around the moving timeline instead of expecting the moving crew to perform specialist work.

Photograph cable arrangements where useful and label equipment by workstation. Keep small accessories with the correct device so setup is not delayed by missing parts.

Map access and the destination layout

Confirm loading areas, freight elevators, door measurements and landlord requirements at both sites. Share operating deadlines and any after-hours restrictions.

Create a destination floor plan and visible room labels. Unloading in setup order reduces double handling and helps essential areas become usable sooner.

Plan the old-space handover

Identify furniture or materials for approved junk removal before the move. Schedule move-out cleaning after the space is cleared when required by the lease or handover plan.

Complete a final origin walkthrough, then verify priority areas, equipment groups and furniture placement at the new workplace before the project closes.
